Privacy Policy
Last updated: October 12, 2026
Sophrono SI LLC (“Sophrono,” “we,” “us,” or “our”) operates sophrono-seo.com. This policy explains how we process information when you use our website, submit a form, request a consultation, subscribe to email updates, or use a third-party scheduling link.
Information you provide
Depending on the form or request, we may receive:
- name and business contact information;
- company, role, project timing, and other business context;
- the message or information you choose to submit;
- newsletter or optional marketing-email preferences; and
- source-page and campaign attribution associated with the submission.
Form processing and storage
Website forms are processed by a Sophrono SI SEO Cloudflare Worker dedicated to this site. Valid submissions are stored in a dedicated Cloudflare D1 database before notification email is attempted so an email-delivery problem does not cause the inquiry to be lost. Operational emails and any marketing outreach sent by this service are delivered through the Gmail API using a Sophrono Google Workspace mailbox. We use Cloudflare Turnstile, rate limiting, a honeypot field, idempotency controls, and privacy-preserving abuse identifiers to reduce automated abuse and duplicate submissions.
We intentionally do not persist the visitor’s raw IP address in our form-submission tables. The forms service may receive technical request data at processing time, and Cloudflare may process network and security information as part of providing its infrastructure and security services.
Marketing email consent
Marketing email is optional unless you are using a form whose purpose is specifically to subscribe to email updates. Marketing consent is maintained separately from ordinary inquiry processing. When you explicitly opt in, the subscription becomes active from that submission, without a second confirmation email. We maintain consent events and version information so we can identify when, where, and under which consent text an email subscription was requested and activated.
Every Sophrono marketing or outreach email sent through this system must provide an unsubscribe mechanism. Unsubscribing suppresses further marketing nurture for that address. Operational messages needed to respond to a request are separate from marketing email.
Analytics and tracking preferences
When enabled, we use Cloudflare Zaraz Consent Management to present and store tracking preferences. Google Analytics 4 may be provided through Zaraz and assigned to an Analytics consent purpose. The website does not intentionally send names, email addresses, phone numbers, company names, free-text form messages, or form submission IDs to GA4.
Tracking consent and email-marketing consent are separate choices. You can reopen tracking preferences from the “Manage cookie preferences” control in the footer. See our Cookie Policy for more detail.
Consultation scheduling
After a consultation or preview request, we may provide a link to our booking page on Cal.com. The booking page is operated by Cal.com and is outside the Sophrono SI SEO website; Cal.com processes the information you enter there under its own privacy terms. The link carries a random reference to your request, not your name or email. When you book, reschedule or cancel, Cal.com notifies our forms service, and we store the booking time, status and the attendee name and email with your request so we can prepare for the call. Booking links in our emails to you may include your name and email so the booking form is filled in for you.
Pricing chooser
If you use the “Which service fits?” questions on our pricing page, we record your answers and the suggestion shown, without your name, email or IP address, to improve our recommendations. A random reference for that visit is kept in your browser session. If you then send us a form during the same visit, the reference and a short summary of your answers are sent with it, so we can see which suggestions lead to requests.
How we use information
- respond to inquiries, requests, and consultation submissions;
- deliver requested resources or operational communications;
- manage email subscriptions when consent is provided;
- protect the site and forms from abuse, duplication, and security threats;
- understand aggregate acquisition and site usage; and
- comply with applicable legal, accounting, and security obligations.
Service providers
We use service providers to operate the website and related workflows. Current or planned providers include Cloudflare for website infrastructure, Workers, D1, Turnstile, Zaraz, consent management, and security controls; Google Workspace and the Gmail API for operational and marketing email delivery; Google Analytics for consent-gated analytics; and Cal.com for optional appointment scheduling. We use other vendors only where needed to provide requested services. We do not sell personal information.
Data retention
We retain form submissions only as long as reasonably necessary for the business purpose for which they were collected, operational follow-up, legal requirements, security, and recordkeeping. Marketing consent records may be retained longer where needed to document consent, withdrawal, or suppression. Retention schedules should be reviewed as the service and applicable legal obligations evolve.
Your choices and rights
Depending on your location, applicable law may give you rights to request access, correction, deletion, restriction, objection, portability, or information about our processing. You may also withdraw marketing-email consent and change non-essential tracking preferences. We may need to verify a request before acting on it.
Security
We use administrative and technical safeguards intended to protect submitted information, including HTTPS, server-side validation, bot protection, rate limiting, idempotent writes, restricted service credentials, secret management, and controlled access to stored submissions. No online system can guarantee absolute security.
Changes to this policy
We may update this policy as our services, providers, or legal obligations change. The “Last updated” date identifies the current revision.
